Employee Master File

Overview

Shafer's powerful employee search engine contains all the employee records added into your Shafer’s system. It provides a quick and easy way to look up employees by their employee number or name and even filter more detailed queries by status, department or division.

Each Employee Master File uses Shafer's standard folder format and contains all of the personal wage rates, applicable deductions, fringes, withholding criteria, etc. as well as all other information unique to that individual that is needed to process payroll. The User Id Security Settings within Shafer’s allows for the system administrator to deny, limit or permit access to specific folders without giving access to unwarranted areas. The employee file also holds emergency information and provides an unlimited notes area for any other information pertaining to the employee.

· Employee Search Engine

Searching for your existing employee records is quick and easy! Our powerful search engine includes four different searchable fields by which to locate specific records. Employees may be found according to their id number, name or even a nickname.

· Search Filters

In addition to using up to four different search fields to locate customers, your data may be mined or filtered up to 4 different ways to provide users with detailed queries. Filters may be turned on or off and hidden when not in use.

· Custom Display Format

The Employee Search Engine comes with a standard display format listing search results in a format we have designed. Custom display formats, which are user-defined and can be set up effortlessly, will display only that information which is relevant to the user or department.

· Folder Format

All Shafer's master files are structured in a simple, file folder format. Nine different folders are present within every employee record created: Employee, Profile, Withholding, Pay Setup, Paychecks, Timecard, Documents and Direct Deposit Info. Clicking on the folder will open it and display the content. For details about each of employee folders, click the image at right.

· Adding New Employees

Adding a new employee record is quick and easy. Simply select the New button from the main search engine screen and then enter in the employees information. The employee number field will allow you to continue to use the sequence you are already using within the infrastructure of your company. The system will prompt you to enter all mandatory fields necessary to complete the new record.
