Job Master File
Overview
The Job Cost Master File was designed to consolidate and easily allow maintenance for all Job Cost Records within one centralized area.
The format, standard to all Shafer's Master Records, holds detailed information separated out within various categorical folders (see Folder Format). Job Phases, change orders, warranty information and material lists are all easily accessible. In addition, each record contains all estimated and actual costs posted to the job. The ability to inquire into each job, without printing a lengthy report, is an excellent tool when all that is required is a quick review of the job cost records.
Job Templates will speed up the process of setting up new jobs while alerts will flash a notification alert each time system users access the job cost record. Alerts may also be sent to users via the email system within Shafer's program. |

· Job Search Engine
One very important aspect in working with Shafer's System, is the ability to find and access your data easily and quickly. This is why our search engines are designed to work the same in every module. In the Job Cost Search Engine, 11 different search fields can be arranged to help you search in the best possible way and in order to compiement your business' operating procedures. User defined fields allow your company to customize the search process even further. Customized search engines can be saved and recalled for each operator.

· Filtering Data
in addition to using up to 11 different search fields to locate customers, you may also implement search filters. Your job data may be mined or filtered up to six different ways to allow users to narrow their search to more specific criteria. Filters may also be turned on or off and hidden when not in use.

· Display Format
The Job Search Engine comes with a standard display format listing search results in a format we have designed. Custom display formats, which are user-defined and can be set up effortlessly, will display only that information which is relevant to the user or department.

· Folder Format
All Shafer's master files are structured in a simple, file folder format. Seven different folders are present wihin every job cost record created: Job/Project, Profile, Phases/Change Orders, Material List, Billing, Schedule, Warranty and Documents. Clicking on the folder will open it and display the content.

· Alerts
Create alerts to notify users of important information about a job.
Shafers Follow-ups will pop up immediately upon a user logging into the system.
The follow-ups can be set for a date in the future as reminders or ticklers to complete a task. Need more information than the message provides? You can access the file of origin by a double click of the mouse.
Color code your follow-ups to represent urgency levels or types of messages. With Shafer's, the control is in your hands.

· Security
Shafer's file security is standard to all modules. For each integrated module you can select Full Access, No Access or Selected Options access to a module. The Selected Options security setting provides: 1) menu option and 2) folder options. It's just that easy!

· Templates
Templates are a valuable shortcut. You can setup Job templates and streamline the Job Cost process. Each template defines parts and labor costs for quick estimating. Import a phase template quickly and easily by clicking the 'template' button. For more information about setting up templates, please see Estimating Templates from the main Job Cost screen.
